You’re Being Told A.I. Is A Software—That’s Wrong.

Property managers...

Let’s talk about last week’s AI Alliance Summit…

I wasn’t going to rub it in for those who missed it, but honestly, it was that good.

(If you want to make sure you don’t miss the next one, keep reading these newsletters!)

Actually, scratch that. I am going to talk about it—because our Chief Property Manager, Dave Normand, delivered a wake-up call everyone needs to hear.

The Industry Thinks AI Is Another SaaS Solution—They Are Wrong.

For years, property managers have been sold the same idea:

“This software will make your job easier.”

And for a long time, that was true.

Software has helped streamline tasks, automate workflows, and improve efficiency.

But no matter how much faster, smarter, or more connected SaaS gets, one thing hasn’t changed:

Property managers are still the ones holding everything together.

That’s because SaaS was never built to own the outcome—only to assist you.

And for the first time, that’s starting to change.

A new approach to AI is emerging—one that’s not just about making your job easier, but about taking the job off your plate entirely.

This shift is bigger than just new technology. It’s a fundamental rethinking of how property management operates.

The real question isn’t “How do I use AI to be more efficient?”

It’s “What happens when AI can actually do the job for me?”

And that’s the shift we’re heading toward.

You Were Sold Efficiency.

But You Needed Ownership.

For years, property managers have looked for ways to make maintenance easier, faster, and more organized.

But even with better workflows and automations, one thing has stayed the same:

Someone still has to make decisions, follow up, and ensure things get done.

🔹 Efficiency means work orders get processed faster—but you’re still the one approving them.

🔹 Efficiency means fewer mistakes—but you’re still the one catching and fixing them.

🔹 Efficiency means less back-and-forth—but you’re still the one managing the process.

At the end of the day, efficiency still keeps you in the loop.

But imagine a future where you’re not the one managing maintenance at all.

✅ Ownership means the job gets done without you.

✅ Ownership means decisions happen automatically—with the right context, every time.

✅ Ownership means the ability to focus on things that move the needle, instead of things that just need to happen.

That’s where AI is heading.

It’s not just about assisting you—it’s about owning the process, from start to finish.

And while no system is perfect today, the shift toward AI-driven ownership is already beginning.

The future of maintenance isn’t just making your job easier.

It’s taking work off your plate..

Why Software Didn’t Fix Maintenance (And Never Will)

If software alone was going to solve maintenance, it would have by now.

Every SaaS solution in the last decade has promised to streamline maintenance operations—yet property managers are still stuck dealing with firefighting, bottlenecks, and endless follow-ups.

Why?

It can organize work orders. It can track vendor response times.

It can even automate simple tasks.

But it still relies on you to:

✅ Make judgment calls.

✅ Follow up with vendors.

✅ Handle escalations when things don’t go as planned.

SaaS makes maintenance more manageable—but it never removes you from the process.

And that’s why property managers are still overworked, overwhelmed, and under constant pressure.

To break free, something else has to take ownership.

That’s the type of thinking you have when you hire someone, not buy a software.

So let’s look at hiring options:

1️⃣ A Maintenance Expert – Someone with deep experience who can make judgment calls, but they’re expensive, limited in capacity, and can always quit because they are in short supply and high demand..

2️⃣ A Virtual Assistant – More affordable, but they require a lot of training, and don’t always work out.  When they do… they’ll know they’re in short supply and high demand eventually as well.

3️⃣ An AI Agent – One that starts with decent context, will require some training to get the context exactly right, but when it works out it scales infinitely, never gets sick, and will never leave you.

Right now, the first two options are the default.

But the third option is emerging.

It’s still evolving, but it’s already showing signs of something property managers have never had before:

A system that actually takes work off their plate—without them having to constantly manage it.

You’re Not Buying AI. You’re Hiring It.

This is where the real shift in thinking begins.

AI isn’t just another platform with dashboards and automations.

One that:

✅ Will learn the nuance of every situation.

✅ Can make decisions without needing your input.

✅ Needs less and less help as they improve..

✅ Never calls in sick, never takes a vacation, never quits.

We’re still at the beginning of this shift, but the first shift is yours to take.

Ask yourself how much patience you’d dedicate to the perfect hire.

The one that could learn everything you know, and never leave you.

Your own Mini Me.

For the first time, AI isn’t just a tool.

It’s a solution.

“This Was Never Possible”- Fixed-Cost Scaling

Things get REALLY interesting when you start realizing that this changes everything.

You can let go of assumptions that you thought would be forever true.

Like growing pains.

Think about it-

Right now, every new door means more work.  More work means more hires.  More hires mean higher costs and tighter margins.

But it’s more than that.

🔺 Hire too many people too soon? Your profits shrink.

🔻 Wait too long? Your service suffers.

But with AI, what we call “fixed cost scaling” is now a reality.

Fixed Cost Scaling: when your dollars per door stay completely constant as you grow.

Instead of costs fluctuating with every new door, AI introduces a new model:

✅ Overhead stays predictable.

✅ Service quality remains high—no matter how fast you grow.

✅ Your team doesn’t have to feel the accordion of pain they used to feel when stretching to the max before you could afford a new teammate.

We’re seeing the first glimpses of what this could mean for property managers.

A future where growth is steady, predictable, and scalable—without the constant fear of hiring, training, and turnover.

The paradigm of ownership is changing.

And those who start thinking about AI differently today will be ahead when it does.

It’s Time to Hire AI, Not Buy Another Tool.

For years, the industry told you AI was just another software product.

They were wrong.

AI isn’t another tool to manage. It’s the beginning of a shift toward a system that works like a team member.

Are you ready to be part of that shift?

Teach and train AI to be as good as you… with the added benefit of never needing a day off and infinite loyalty?
